Managing Your Calendar
How to use the calendar to track bookings, block dates, and manage availability.
The calendar gives you a visual overview of every booking and blocked date across all your units. It is the fastest way to see what is happening at your property right now and what is coming up.
What the Calendar Shows
Each row on the calendar represents a unit (a physical room or space). Bookings appear as colored blocks that span the guest's check-in to check-out dates. You can see at a glance which units are occupied, reserved, or open.
Booking colors correspond to their status:
| Color | Status |
|---|---|
| Amber/Yellow | Pending |
| Green | Confirmed |
| Blue | Checked In |
| Gray | Completed |
| Red | Cancelled |
Other statuses you may encounter: Pending Approval, Approved, Declined, No Show, and Expired.
Switching Views
You can view the calendar by day, week, month, or timeline. Use the toggle at the top of the calendar to switch between views.
- Day view: useful for checking today's arrivals and departures
- Week view: good for planning the next few days and spotting short gaps
- Month view: best for a big-picture look at occupancy and upcoming reservations
- Timeline view: a horizontal timeline that shows bookings and blocks across all units at once
Blocking Dates
Sometimes a unit is unavailable for reasons other than a guest booking. Maintenance, renovation, personal use, or a holiday shutdown. You can block dates manually so the unit shows as unavailable for those days.
To block dates:
- Click on the unit and date range you want to block
- Select Block Dates
- Select a block reason: Maintenance, Owner Use, or Manual (this is required)
- Add any additional details in the notes field if needed
- Save
Blocked dates appear on the calendar just like bookings. Guests cannot book a unit for dates that are blocked.
The calendar also shows Activities and Bills alongside bookings and blocks. Use the toggle checkboxes at the top to show or hide each type.
Block dates early for holidays when you plan to close. Holy Week, Christmas, and local fiestas are common periods where operators take their properties offline. Setting blocks in advance prevents guests from booking those dates.
How Availability Works
A unit is available for a given date range only if it has no bookings and no blocks during that period. When a guest views your listing, they only see products with at least one available unit for their selected dates.
This means:
- If all units of a room type are booked or blocked, that product shows as unavailable
- If even one unit is open, the product remains bookable
- Cancelling a booking or removing a block immediately frees up the unit
Tips for Using the Calendar
- Check the calendar before confirming walk-in guests. A quick look tells you which units are actually open and for how long.
- Use blocks for buffer days. If you need a day between guests for cleaning, block the day after checkout.
- Review the month view weekly. Spot gaps where you might want to adjust pricing or run a promotion.
- Use the notes field for details. The block reason is a required category (Maintenance, Owner Use, or Manual), but you can add specifics like "aircon repair" in the notes field.
